Project Web Portal

If you are using the Pearl Website module then your clients and project team can log in to your web portal to access the project using a simpler interface.

People will only be allowed to see the projects in which they are a team member, and within the projects they will only be able to see the jobs for which they are set as a user or admin.

If the job permission settings (the Contacts tab in the job edit screen) allows the person to add notes, they will be able to do so online.

The web portal for the project management only shows the job notes and project notes that are set as “public”.

Sending User Passwords

To reset the user’s password manually, you can either visit the web portal login page and request a new password on behalf of the user, or you can reset it using the admin area (see the Contacts training pack for more information on contact management).

Scenario : File approval

You can upload files to a job, and these will show in the web portal area. The following is a typical set-up for design approval:

  1. Create a new mailmerge template that will be used for the emails*. Activate it.
  2. Create the approval job, and set the email update template to the one you have just made.
  3. Ensure that the project allows the client to add notes.
  4. Add the client to the list of job contacts, with email and/or SMS alerts ticked.
  5. Do the work required to create the proof file, adding time to the job.
  6. Upload the file as an attachment to a note in the job edit screen.
  7. Add a public note to the job, and save. The note will be sent to the client on the email update.
  8. The client will log in to the job and can enter their notes. These notes will be emailed automatically to all job team members.
  9. The entire process is tracked by date and user

Call Manager

If at any time you need to call the client, or a subcontractor, make sure you use the call manager so that the time can be tagged automatically to a job. This can be useful even if you are not billing the time. You can open the call manager by clicking the call manager icon against a contact in the CRM– you will be given the option to tag the call to any of the jobs for which you are a user.
